Executive Assistant for Inclusive Excellence

Job Description

The Inclusive Excellence Office seeks an energetic and passionate executive assistant to support the Vice President of Diversity and Inclusion and the Inclusive Excellence team including the Director of Education and Training, and the AVP for HSI-MSI Initiatives. Responsibilities include managing departmental budgets, supervising graduate and undergraduate student employees, and collaborating with the marketing department to produce multilingual resources for print and web communications. Additionally, the executive assistant will help meet the goals and efforts of the Diversity, Equity and Inclusion Office, (DEI), as well as Hispanic and Minority Serving Initiatives by accessing university data and assisting with report writing for institutional and grant purposes. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for fostering a diverse, equitable, and inclusive campus culture.

  1. Serve as executive support to the Vice President of Diversity and Inclusion, including managing calendars, listservs, and assisting with communication and organization by responding to inquiries from all levels of the organization, internal and external.
  2. Assist Vice President with personnel actions throughout the division (job description revisions, reclassifications, reorganizations, hiring, pay adjustments, and disciplinary action), including liaising with division directors and human resources.
  3. Manage the Inclusive Excellence budget, including tracking expenses and allocating resources effectively. This also includes managing ProCards, invoices/payments, purchasing, accounting, and documentation.
  4. Supervise office student graduate and work study staff, including managing their timesheet and student employee requirements.
  5. Regularly utilize student success management tools and campus databases such as Navigate, PeopleSoft, Financial Reporting and Power BI.
  6. Assist with data gathering, tracking, and report writing with a focus on disaggregated data and equity agenda.
  7. Support strategic planning and documentation initiatives related to the equity agenda, DEI and HSI-MSI initiatives.
  8. Researches issues that come to the Inclusive Excellence office and DEI and HSI-MSI Initiatives.
  9. Serve as primary liaison to campuswide Employee Resource Groups (ERGs) and affinity spaces. This includes maintaining an up-to-date list of faculty and staff in coordination with HR, assisting with room reservations and ordering, and email communications. Provide support to co-leads, and office staff.
  10. Assist with managing and tracking professional development and conference attendance for office staff and university faculty and staff participating in DEI and HSI professional development on or off campus.
  11. Manage multilingual translation and printing protocol to create SSU resources in Spanish, Portuguese, and Haitian Creole, in collaboration with Marketing and Creative Services and campus partners.
  12. Assist staff with communication and marketing. This includes assisting with emails, social media, web, and submitting work to our marketing and communications department to create print and web multilingual products.
  13. Represent the IE office at programs and events, assisting staff with implementation and assessment. Track program data.
  14. Assist staff in managing external relations with community partners, including advisory boards and professional memberships.
  15. Serve on committees as assigned by the VP for Diversity and Inclusion
  16. Participate in designing and administering assessment activities to foster continuous improvement and accountability-related areas of responsibility
  17. Assist the office with following University policies and protocols, including completing travel paperwork, and other compliance requirements.
  18. Serve as a liaison with other departments across campus, external organizations and community groups to expand IE networks and collaborations.
  19. Demonstrate sensitivity to students, faculty, and staff of varying racial, ethnic, and religious, gender, cultural, disability, sexual orientation and socioeconomic backgrounds
  20. Adhere to the Family Education Rights of Privacy Act (FERPA) and the requirements of the Federal Privacy Act of 1974
  21. Other duties as assigned.

Required Qualifications:

  1. Bachelor’s degree
  2. Minimum of 2 years of experience in a professional setting, that includes budget management
  3. Knowledge of Microsoft suite, including spreadsheets
  4. Interest in supporting diversity, equity and inclusion efforts 
  5. Experience in exercising discretion and handling confidential information
  6. Previous supervisory experience
  7. Experience working with little or no supervision and using independent and sound judgment in keeping with established university policies and procedures

 Preferred Qualifications:

  1. Strong oral, written, and interpersonal communication skills
  2. Bilingual or multilingual skills
  3. Experience managing student employees
  4. Experience and interest in graphic design, content creation, or marketing and communications
  5. Ability to deal tactfully with others

Working Conditions:

This is a hybrid position in Salem, MA which requires on-campus, in-person responsibilities four times per week and occasional evening or weekend work.

 

Office activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and interaction with computer equipment; occasional bending, reaching, lifting, pushing and pulling up to 5-10 pounds.
