Job Description

This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

DESCRIPTION

UC San Diego Health Sciences encompasses UC San Diego Health, the region's only academic health system, UC San Diego School of Medicine, one of the nation's top research-intensive medical schools, Skaggs School of Pharmacy and Pharmaceutical Sciences, Southern California's first public school of pharmacy, and Herbert Wertheim School of Public Health and Human Longevity Science. UC San Diego Health Sciences' mission is to deliver outstanding patient care through commitment to the community, groundbreaking research and inspired teaching.

The Division of Medical Education within the UC San Diego School of Medicine consists of the following units: Undergraduate Medical Education, Admissions & Student Affairs, Diversity and Community Partnerships, Graduate Medical Education, Continuing Medical Education & Faculty Development, Simulation Education, Physician Assistant Education, Anatomical Services, Business Affairs and Educational Technology. The division supports the education, training and co-curricular activities of approximately 560 medical students, 90 physician assistant students, 1000 residents and fellows as well as the faculty, physician and healthcare providers at UCSD's School of Medicine, its' Medical Centers, and affiliates.

The Administrative Assistant will provide high-level administrative support to the leadership in the Division of Medical Education on a wide range of projects and assignments that are complex and confidential in nature. Independently manage a complex calendar for multiple Deans. Analyze meeting requests to accommodate priorities, ensuring day/time accuracy, notating and communicating changes as they arise. Coordinate complex travel, including airfare, hotel accommodations and conference registration for Deans. Assist with special projects and tasks, as assigned.

MINIMUM QUALIFICATIONS
  • Demonstrated experience providing full range of high level independent executive administrative support combined with proven skill to coordinate complex activities and use independent judgment to organize and prioritize office functions.

  • Excellent administrative skills including maintaining calendars, scheduling and organizing meetings, retreats/workshops, and organizing files.

  • Superior written skills, including grammar, spelling, and punctuation usage, to compose, edit, and finalize correspondence.

  • Excellent interpersonal and oral communication skills. Communicate clearly, effectively, tactfully, and patiently in person, on the telephone and in writing to a diverse group of people in the academic and business communities.

  • Advance computer skills in Microsoft Suite and online conferencing applications with working knowledge of various systems and business software programs.

  • Proven ability to work independently without direct supervision using initiative and resourcefulness. Ability and willingness to learn new skills and take on new tasks as needed for all aspects of the position. Strong independent prioritization and allocations skills. Strict sense of confidentiality.

  • Ability to identify problems and develop responsive, creative, innovative and effective solutions andrecommendations. Analytical and comprehension skills to understand and interpret complex written materials.

  • Demonstrated ability to organize office and develop routine programs and procedures. Ability to develop complex filing systems. Capable of working effectively in an environment with multiple interruptions.

  • Demonstrated high degree of professionalism and independence in a rapidly changing, time-pressured environment. Proven ability to exercise independent judgment, independently analyze, organize, and prioritize daily activities. Strong organizational skills.

  • Experience coordinating, maintaining and arranging complex calendars for meetings, appointments, and travel.

  • Experience in planning and organizing functions, meetings and/or special events. This includes preparing agenda, collating/distributing materials, and documenting/formatting minutes of meetings and ensuring action items are completed, followed-up and documented.

PREFERRED QUALIFICATIONS
  • Experience with disbursement processes and procedures. Experience reconciling accounts and ledgers.

  • Experience working with UCSD systems/databases and knowledge of UCSD policies and business practices.

  • Knowledge of contract and grant proposal submissions.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
